Effective date: 7 September 2026

Last updated: 7 September 2026

1. Introduction

PacePoint Golf is committed to protecting your privacy and handling your personal data responsibly. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your data.

We are a UK-based SaaS platform serving golf clubs, competition managers, professional shops, course marshals and golfers. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and any other applicable data protection legislation.

Please read this policy alongside our Terms & Conditions and Cookie Policy.

2. Information we collect

We collect and process the following categories of personal data:

  • Account information: your full name, email address, phone number and account password (stored in encrypted form).
  • Golf club affiliation: the golf club you belong to or are invited by, plus your membership or team details where provided.
  • User role: whether your account is set up as a Player, Professional Shop user, Golf Manager, Club Administrator or Platform Administrator. This helps us present the right features and controls.
  • Location and GPS data: precise and approximate location information while you are using pace tracking and course sharing features.
  • Device and browser information:device type, operating system, browser version, screen size and IP address.
  • Usage analytics and app interactions:how you use PacePoint Golf, including page views, feature usage, error reports and performance data.

3. How we use information

We use your personal data to:

  • Provide pace-of-play tracking services during competitions and rounds.
  • Display golfer and group locations on authorised course maps.
  • Generate pace-of-play analytics, reports and insights for your club.
  • Manage user accounts, roles and permissions.
  • Improve platform functionality, reliability and user experience.
  • Communicate service updates, security notices and support information.
  • Meet our legal, regulatory and accounting obligations.

Where required by data protection law, we rely on lawful bases such as performance of a contract, legitimate interests and, where appropriate, your consent. You can withdraw consent at any time by contacting us using the details below.

4. Location data

GPS location tracking is essential to the core functionality of PacePoint Golf. It enables real-time pace-of-play monitoring, helps competition managers and marshals identify delays, and supports course management decisions.

Location information is collected only while you are actively using authorised tracking features, such as during a live round or when location sharing is otherwise enabled for competition purposes. We do not track your location in the background when you are not using these features unless you have explicitly enabled continuous sharing.

Your location is shared only with users who have a legitimate operational need to see it, such as your golf club's authorised staff and, where applicable, other members of your playing group. You can manage location permissions through your device or browser settings at any time.

5. Data sharing

PacePoint Golf does not sell personal information. We share data only where necessary to provide the service and operate the platform:

  • Your affiliated golf club: limited account, role and location data is shared with the club that invited or registered you, so that staff can manage competitions and monitor pace of play.
  • Trusted technology providers: we use carefully selected third-party services for hosting, authentication, analytics, email delivery and error reporting. These providers process data only on our behalf and under appropriate contractual safeguards.
  • Legal requirements: we may disclose data if required to do so by law, regulation, court order or to protect the rights and safety of PacePoint Golf, our users or others.

6. Data security

We take the security of personal data seriously. We use industry-standard measures including encrypted connections (TLS/SSL), access controls, role-based permissions, secure authentication and regular monitoring to protect your information.

While no online service can guarantee absolute security, we continually review our technical and organisational measures to keep data safe and to respond quickly to any incidents.

7. Data retention

We keep personal data only for as long as necessary to provide PacePoint Golf, fulfil the purposes described in this policy, comply with legal obligations, and maintain business records.

When data is no longer needed, we delete or anonymise it in a secure manner. If you close your account or leave your club, some information may be retained for a limited period to resolve disputes, enforce agreements or meet legal requirements.

8. Your rights

Under UK data protection law, you have the right to:

  • Access a copy of the personal data we hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion of your personal data in certain circumstances.
  • Withdraw consent where processing is based on consent.
  • Request a portable copy of your data in a commonly used format.
  • Object to or restrict certain types of processing.
  • Lodge a complaint with the Information Commissioner's Office (ICO), the UK supervisory authority for data protection.

To exercise any of these rights, please contact us using the details in the Contact section below. We aim to respond within one calendar month.
